Board and Management
The Summit Historical Society is structured and managed as follows. Please refer to the "Our Organization" selection on the "About Us" menu to view our organization chart.
Board of Directors
The Board of Directors is comprised of eleven members of the Summit Historical Society. The Board meets on the third Thursday of each month. Board members are elected for a two-year term at the Society annual meeting on the first Saturday each August. Board membership is divided into two classes of directors, five members who stand for election in even-numbered years and six members who stand for election in odd numbered years.
Nomination of a Society member to stand for election as Board member must be made in writing and received by the Secretary of the Board of Directors no less than seven days prior to the annual meeting A nominating committee appointed by the Board may also nominate members to stand for election. Members may nominate another member or themselves.
Nominations to the Board may also be made from the floor during the annual meeting but only when there are more seats available for election than there are candidates. A nomination from the floor requires a second to qualify for election. Only members in good standing, dues paid, may make nominations, stand for election, or vote in an election. The elected Board members take office at the first Board of Director's meeting following their election.
Members of the Board of Directors have the following responsibilities:
- the right to vote.
- attendance at all board meetings (resignation is expected if three consecutive meetings are missed)
- notification to the Board President if unable to attend a meeting (reports due at that meeting should be delivered to the President prior to the meeting)
- management of at least one fund raiser per year
- participation in as many Society functions as possible
Officers
The Board of Directors elects from its eleven members a President, Vice President, Secretary, and Treasurer. The term of office is for one year. The election of Board officers takes place at the first Board of Director's meeting following the annual member's meeting in August.
The Officers have the following responsibilities:
President
- fulfillment of all duties and responsibilities as Chief Executive of the Society as required by law and the Bylaws of the Society
- approval of expenditure of Society funds
- receipt of all committee reports
- oversight of routine and special events
- preparation of the monthly Board meeting agenda
- management of all Board meetings
Vice President
- temporary substitution as President in the absence of the President
- overall fund-raising chairman to oversee all fund-raising events and to ensure, insofar as possible, a regular flow of income
Secretary
- recording, typing, and distribution of the minutes of all meetings
- acceptance of nominations for Board membership and preparation of ballots for the annual meeting
- notification of Board members and Commissioners of any special meetings or meeting changes
Treasurer
- preparation and submission of all bank deposits
- generation of all checks in accordance with the Board's accounting system
- preparation and distribution of monthly financial reports for review at the monthly Board meetings
- preparation, with the Executive Director,of an annual budget

Day-to-Day Management
It is the responsibility of the Board of Directors to appoint either Society members or Commissioners to the following positions to manage the day-to-day affairs of the Society:
Program Coordinators
Reports to the Executive Committee to recruit and train volunteers, to manage, coordinate, and schedule all volunteer and tour matters, and to create, manage, and coordinate all Society programs and events.
- The SHS Program Coordinator position is currently vacant.
Archive Management
Works with the Executive Director to organize, maintain, secure, preserve, and update the Society's archives
Communications
Publicizes all Society events to maximize their success including all advertising, web site management, and community outreach programs. Utilizes all forms of media. Position can be held by a commissioner or a general member.
Membership
Creates and implements programs to both increase and maintain the current membership base. Reports on membership status on a quarterly basis. Monitors the cost of membership and informs the Board if the cost becomes excessive. Position can be held by a commissioner or a general member. The membership coordinator is Charlie Bond.
Site Management
Manages all historic sites under Society responsibility including all maintenance and preservation work. Assists the Executive Director in creating an annual plan for site maintenance including estimated costs. Publishes the plan to encourage and facilitate the donation of funds or in-kind services toward its realization and to increase the Society's volunteer base. Position can be held by a Commissioner or a general member.
- The SHS Director - Site Management is Jim McNaul.
Corresponding Secretary
Sends cards/letters acknowledging extraordinary gifts (in-kind, monetary, time) and cards for special occasions, such as congratulations, sympathy, etc.
Commissioners
Commissioners are approved by the Board of Directors and have the following responsibilities:
- are non-voting Board-appointed Society members
- should attend all Board and special meetings (resignation is expected if three consecutive meetings are missed)
- should notify the Board President if unable to attend a meeting (reports due at that meeting should be delivered to the President prior to the meeting)
- are not expected to chair a fund raiser but are expected to work at as many as possible (participation in other events is expected as well)
